SPEAKERS

If chosen to speak, the speaker’s sessions will be recorded and sold to attendees onsite and online. Additionally, copyright for onsite recorded sessions belong individually to organizer and speaker and can be used for promotional purposes by either without approval.

Teach Them Diligently and speaker agree that they will not seek to use session recordings to each other’s detriment. In keeping with this point, wherever possible Speaker will refer to the session as “Recorded at Teach Them Diligently Convention” when promoting any part of recorded session. Speaker is entitled to a copy of recorded session at their request at no charge, but speaker will not harm the ability of the conference to benefit financially. An example of financial harm would be speaker giving recordings away for free on their website the day after the event. Any departure from these points will need to be approved.

Additionally, event organizer is very willing to discuss and adjust any points regarding our recording policy. By agreeing to these above points, speaker is not ceding any rights they have to recorded content at event, but neither is the conference. Virtual events and livestreams are also included in this clause

EXHIBITORS

Refunds

Teach Them Diligently will not provide refunds for any reason for live events. This includes advertising, exhibitor fees, family registrations (or any registration associated with families or individuals), children’s programs, sponsorships, etc. This refund policy for live events applies regardless of circumstance. This includes in-person tickets to any events that are video streamed on the internet. Additionally, any decision to refund tickets for live in-person events for special circumstances does not make the general policy null and void. Teach Them Diligently does have the option at their own discretion to transfer monies associated with live in-person events to other events in different locations. If Teach Them Diligently does decide to transfer monies to other event locations, they do not guarantee that the exhibitor will receive the same booth type that they initially registered for.

Payment Terms and Consequences of Late Payment

Exhibitors are required to pay in full for their exhibit space and any additional services ordered within thirty (30) calendar days of the purchase date. Failure to remit payment within the specified 30-day period may result in the following consequences, at the sole discretion of the event organizers:

  • Loss of the exhibitor’s assigned location in the exhibit hall. The organizers reserve the right to reassign the unpaid exhibit space to another exhibitor without further notice.
  • Application of a higher rate for the exhibit space and/or additional services. This increased rate may be up to 25% above the original price quoted at the time of purchase.
  •  Cancellation of the exhibitor’s participation in the event, without refund of any deposits or partial payments made.

The event organizers reserve the right to pursue any unpaid balances through legal means, with all costs associated with collection to be borne by the exhibitor.

Exhibitors facing difficulties meeting the payment deadline should contact the event organizers immediately to discuss potential payment arrangements. Any alternative payment plans must be agreed upon in writing by both parties.

Exhibitor Arrival and Booth Setup

Exhibitors are required to arrive and complete their booth setup at least one hour before the exhibit hall opens on the first day of the convention. Failure to comply with this requirement may result in the following consequences:

  1. Teach Them Diligently reserves the right to revoke the exhibitor’s booth space without a refund.

  2. Teach Them Diligently may relocate the exhibitor’s booth to a different area of the exhibit hall, at its sole discretion.

Exhibitors who anticipate arriving later than the specified time must communicate with Teach Them Diligently in advance and obtain explicit permission for a delayed arrival. Those who have received prior approval for late arrival will be exempt from the above penalties.

It is the exhibitor’s responsibility to ensure timely arrival and setup to maintain the professional appearance and smooth operation of the exhibit hall. This policy is in place to ensure all exhibitors are prepared to engage with attendees from the moment the exhibit hall opens
